For the purposes of POPIA, Produce My Ad (Pty) Ltd is the Responsible Party responsible for determining how and why your personal information is processed.

Account Information - When you create an account we may collect: full name, email address, password (stored in encrypted or hashed form), account preferences, subscription status, and country or region.
Billing Information - Payments are processed securely through PayFast for customers in South Africa and Paddle for customers in supported international regions. Payment card and banking details are processed directly by our payment providers and are never stored by SessionPlug. We may collect and retain subscription tier, billing status, billing cycle, trial eligibility, trial usage history, subscription renewal dates, transaction identifiers, invoice records and payment provider references.
Recording Session Information - Depending on how you use SessionPlug, we may process recording session names, audio recordings, project files, scripts, exported files, delivery history, session metadata and recording timestamps. Where technically possible, audio processing occurs within your browser. Only recordings or files that you choose to upload, share, or deliver are transmitted to our cloud infrastructure.
Guest Information - During remote recording sessions we may process guest display names, guest email addresses (where invitations are sent), session participation, audio streams and technical connection information. Guests are informed when a recording session is active and are required to acknowledge recording before joining.
Technical Information - We automatically collect limited technical information, including IP address, browser type, operating system, device type, log files, error reports, session diagnostics and performance metrics. This information helps us operate, maintain and improve SessionPlug.
We process personal information in order to: provide SessionPlug services; authenticate your account; process subscriptions and subscription administration; manage recording sessions; deliver recordings; provide customer support; verify free trial eligibility; prevent fraud; process payments; issue invoices; comply with tax obligations; improve reliability and performance; comply with legal obligations; communicate important service updates.
We do not use your recordings to train artificial intelligence or machine learning models without your explicit consent.
Where required by POPIA, we process personal information on one or more of the following grounds: your consent; performance of our agreement with you; compliance with legal obligations; our legitimate interests in operating and securing SessionPlug; or where otherwise permitted by law.
SessionPlug provides recording technology. The SessionPlug account holder is responsible for ensuring that all participants have provided any consent required by applicable law before recording begins.
To assist with compliance, guests receive a recording notice before joining, are required to acknowledge that the session may be recorded, and recording indicators are displayed during active recording sessions.
SessionPlug does not independently verify that consent has been obtained.
SessionPlug uses cookies and similar technologies to keep you signed in, remember preferences, maintain secure sessions, improve performance, and detect abuse. We do not use cookies to sell advertising profiles.
We work with carefully selected service providers ("Operators" under POPIA) who process information on our behalf. These may include:

Where purchases are processed through Paddle, Paddle acts as the Merchant of Record and may process personal information necessary for billing, taxation, fraud prevention and regulatory compliance.
Some personal information may be processed outside South Africa through our operators and payment providers. Where personal information is transferred internationally, we take reasonable steps to ensure that appropriate contractual, technical or organisational safeguards are in place to protect your information.
SessionPlug uses industry-standard security measures designed to protect your information, including TLS encryption during transmission, encryption of stored data where supported, secure authentication, access controls, signed server-generated tokens, time-limited download links, security monitoring and routine software updates. No online service can guarantee absolute security, but we continuously work to protect our systems.
We retain personal information only for as long as reasonably necessary. Generally: account information is retained while your account remains active; invoices, transaction history, tax records and subscription records are retained for the periods required by applicable accounting and tax legislation; recordings remain available until deleted by you or removed in accordance with your subscription plan; technical logs are retained only for operational and security purposes.
Where information is no longer required, it is securely deleted or anonymised where reasonably practicable.
Subject to applicable law, you may have the right to: request access to your personal information; request correction of inaccurate information; request deletion of information where appropriate; object to certain processing; withdraw consent where processing is based on consent; request information about how your data is processed; lodge a complaint with the Information Regulator.

SessionPlug is intended for users aged 18 years or older. We do not knowingly collect personal information from children. If we become aware that personal information relating to a child has been collected without appropriate authority, we will take reasonable steps to delete that information.
We may update this Privacy Policy from time to time. Where material changes are made, we will provide appropriate notice through the SessionPlug website or application. The latest version will always be published on our website.
